Overview

The Israel Innovation Authority supports companies, entrepreneurs, research institutions, and technology organizations through funding programs, grants, reporting processes, payments, and royalties. Over time, the personal area had become a central operational space for clients - but the experience was fragmented, table-heavy, and difficult to navigate.

My Role

I led the UX/UI process end to end — from research, interviews, journey mapping and information architecture to wireframes, UI direction, design guidance, and development alignment.

Problem

The existing personal area reflected the system’s internal structure more than the user’s mental model. Three key pain points stood out:

  • Hard to find critical information

Users struggled to locate key decisions, statuses, forms, and documents across tabs, tables, emails, and process-specific screens.

  • Unclear next actions and open tasks

Users had difficulty understanding what required attention, which tasks were open, what needed to be reported, and when.

  • Difficult to manage multiple cases

Companies often managed several cases in different statuses, making it hard to track the full picture in one place.

Why It Was Complex

A single company can manage multiple programs, requests, active cases, reports, payments, milestones, documents, and royalties. Different users enter the system for different reasons - submitting a first request, tracking an approved case, completing missing documents, reporting finances, paying royalties, or managing several companies.

We had to simplify the experience without flattening the operational complexity behind it.

UX Approach

We reframed the personal area from an information archive into a task-oriented company command center. The core principles were:

  • Show what needs attention first
  • Keep company context visible
  • Organize information around user goals
  • Connect every summary to a direct action
  • Support different company states and lifecycle stages

Outcome

The 360° dashboard gives companies a clearer, more proactive way to manage their work with the Israel Innovation Authority.

It helps users understand status at a glance, identify urgent tasks, access documents, track financial and operational activity, and continue directly to the next relevant action — reducing uncertainty and potential support dependency.
